Should Schools Send Payment Confirmation Messages to Parents?
By PayDesk · Updated
Should the school confirm to parents when a fee payment arrives?
Yes. Parents already get an M-Pesa message, but that only proves the money left their phone. A confirmation from the school saying the payment was applied to the student's account answers the question they would otherwise phone the bursar to ask.
What the message should say
- The amount received and the student's name.
- The receipt or M-Pesa reference.
- The school's name, so it is clearly legitimate.
What PayDesk sends
When an M-Pesa Paybill payment is reconciled, PayDesk sends each guardian an SMS (if a phone number is on file) and an email (if an email address is on file). The message gives the amount, the student's first name, the receipt reference and the school name. The principal and finance manager also get an in-app notification.
Why it only works if matching is reliable
A confirmation is sent only after the payment is matched to a student. If the account reference was wrong, no confirmation goes out and the parent will call. That is one more reason to print the exact account reference on every notice and to steer parents to the parent portal, where PayDesk fills in the reference.
Frequently asked questions
- Does the parent still get the normal M-Pesa message?
- Yes. The school's message is separate and confirms the payment was applied to the child's account.
- Why did a parent not receive a confirmation?
- Most often the payment was not matched to a student because of a wrong account reference. Check unmatched payments.
