Wrong Account Number on a School Fee Payment: How to Fix It
By PayDesk · Updated
A parent paid school fees with the wrong account number. What now?
The money has reached the school's Paybill, so it is not lost. Find the payment by its M-Pesa transaction code, confirm which student it belongs to with the parent, and allocate it to that student's invoice. Then reduce repeat errors by printing the correct account reference on every fee statement.
Step by step
- Get the M-Pesa message or transaction code from the parent.
- Find that transaction in the unreconciled payments on the Payment Operations page.
- Confirm the student with the parent (name, class, admission number).
- Allocate the payment to the student by importing your M-Pesa statement into reconciliation and committing that line.
What PayDesk does with unmatched payments
When a confirmation arrives whose account reference matches neither an invoice number nor an admission number for the school, PayDesk does not guess and does not create a payment. It logs the transaction details (code, amount, payer phone and name, reference typed) so finance staff can resolve it deliberately.
In reconciliation, PayDesk suggests a student for each statement line, first by an admission number found in the line's details and then by the sender's phone number matching a student or guardian. When you commit a line, the payment is applied to the student's oldest open invoices first, any remainder becomes prepaid balance, and a transaction code that is already recorded is skipped.
Preventing it next term
- Print the exact account reference format on every statement and invoice.
- Point parents to the parent portal, where PayDesk starts the payment for them and fills in the reference.
- Repeat the exact reference in any notices you send yourself.
Frequently asked questions
- Can a wrong-reference M-Pesa payment be reversed?
- Reversals go through Safaricom and are slow. For a school it is usually faster to allocate the payment to the correct student after confirming with the parent.
- Is an unmatched payment counted as income?
- Not until it is allocated to a student. Until then no payment exists in PayDesk, so student balances do not reflect it. That is why unreconciled payments should be reviewed regularly.
